Are you a highly organized, detail-oriented administrative professional who thrives on being the financial and operational backbone of a business? We are a fast-paced construction firm looking for a versatile Accounting Manager to take care of our accounting, payroll, and general office support needs.

This is a critical, hands-on role where your precision ensures our projects and teams run smoothly and profitably.

The Role: What You'll Be Doing

You will be managing daily cash flow and compliance across multiple areas:

Core Financial Management (AP & AR):

• Accounts Payable (AP): Process, post, and pay vendor invoices and reconcile major supplier statements. Manage the critical cycle of receiving subcontractor billing, submitting it for review, and preparing Friday payments and lien waivers .
• Accounts Receivable (AR): Assist with monthly billing . Post invoices and aggressively monitor/follow-up on outstanding receivables.
• Cash Handling: Post payments, prepare and take deposits to the bank, and occasionally pick up checks from local clients.

Payroll & Human Resources:

• Weekly Payroll: Manage time clock entries, track and record PTO, ensure hours are coded to the proper job number, and prepare weekly payroll submissions to payroll service.
• HR Support: Own the onboarding process for new hires, enroll eligible employees in insurance and 401k benefits, and handle compliance matters like wage garnishments, child support orders, and unemployment claims.
• Compliance: Monitor adherence to federal/state employment laws and assist with the annual Form 5500 for the retirement plan.

Reporting & Project Support:

• Financial Reporting: Maintain and submit key worksheets for monitoring subcontracts. Prepare regular balance and payable reports for leadership and complete all final monthly reports.
• Job Costing: Provide job cost reports to Project Managers as required and communicate with subcontractors regarding contracts and change orders.
• Quarterly Close: Work closely with the external accountant by sending statements/QuickBooks files and posting adjusting journal entries.

Office & Administrative Oversight:

• IT & Equipment: Monitor data backups, perform minor troubleshooting on computers/printers, and assist with purchasing and setting up new hardware.
• General Administration: Assist with purchasing office and job materials. Manage subscription renewals (software, email/domain services) and assist with insurance reporting and audits.
