Title: Accounts Payable

Reports To: Manager Finance

Location: New Brunswick, New Jersey 

Shift: 8:30am – 5:00pm, Monday – Friday On site

Wage: $55,000 - $65,000 Annually

Role Description

The Accounts Payable position at CENMED ENTERPRISES INC. plays a critical role in managing the financial obligations to our suppliers and overall business operations. This role ensures that all vendor invoices and payments are processed accurately and timely, maintaining strong relationships with suppliers and subcontractors. The successful candidate will be responsible for verifying invoice details, reconciling statements, and resolving discrepancies to support smooth financial workflows. By maintaining organized records and adhering to company policies and regulatory requirements, this role contributes to the financial integrity and operational efficiency of the company. Ultimately, the Accounts Payable professional will help sustain the company’s reputation for reliability and fiscal responsibility within the lab equipment distribution industry. 

What You’ll Do  

Responsibilities

• Process and verify invoices, purchase orders, and payment requests for accuracy and compliance with company policies.
• Maintain and update accounts payable records, ensuring timely and accurate payment to vendors and subcontractors.
• Reconcile vendor statements and resolve any discrepancies or billing issues in collaboration with internal teams and external partners.
• Prepare and process electronic payments, checks, and expense reimbursements while maintaining proper documentation.
• Assist with month-end closing activities, including accruals and reporting related to accounts payable.
• Communicate effectively with vendors and internal departments to address payment inquiries and resolve issues promptly.
• Support audit processes by providing necessary documentation and responding to inquiries related to accounts payable transactions.
• Enter and reconcile invoices for Accounts Payable, ensuring that vendor discounts are realized.
• Maintain vendor and manufacturer files, enter new information and account updates in ERP(Microsoft Dynamics)
• Provide support and backup to other Purchasing department.
• Request and review monthly vendor statements.
• Ensure proper credits are received and applied from vendors.
• Negotiate with vendors and manufacturers to minimize late fees.
• Manage unapproved AP, unbilled AP – ensure clean AP Agings.
• Petty Cashbox Reconciliation with posting of daily entries.
• Process customer payments and deposit checks via remote deposit capture.

What You’ll Bring to The Table  

• College or Associate’s degree in Accounting, Finance, or related field preferred.

• 5+ years Accounting/Accounts Payable/Finance experience
• Experience in Microsoft Dynamics highly desired.

• Proficiency in accounting software and Microsoft Office Suite, especially Excel.

• Solid understanding of basic bookkeeping and accounting payable principles.
• Proven ability to calculate, post and manage and financial records.
• Hands-on experience with spreadsheets and proprietary software.

• Excellent organizational skills with a high level of attention to detail and accuracy.

• Ability to quickly understand new processes and identify operational opportunities.
