BASIC INFO

Term: Oct 1 – Dec 31 (temp contractor/ intern)

Hours/Pay: ~16 hrs/week at $20/hr (approx. $320/week)

Location: Mostly remote; occasional in-person photoshoots and meetings (LA preferred, OC okay)

About the role:

I’m a freelance photographer, graphic designer, illustrator, and painter working with local musicians. I’m looking for a highly organized Creative Assistant who loves music and wants real-world experience in a freelance creative business. Ideal for a college junior/senior or recent grad (design, music, art, or business preferred—but not required) curious about freelancing and open to mentorship.

WHAT YOU'LL DO

Client Facing Support

• Be CC’d on client emails; draft/send replies, organize threads, flag urgents.
• Send a monthly newsletter (services, promos, recent work highlights).
• Scheduling & booking: confirm photoshoots, shows, and meetings; manage the calendar.
• Client onboarding: send welcome/prep guides, collect info & deposit.
• Send contracts & invoices; set up Pixieset client portals; maintain a lightweight client database (past jobs, budgets, preferences).
• Payment reminders: friendly nudges for overdue invoices.
• Deliverables tracking: keep a simple dashboard/spreadsheet of project stages (scheduled → editing → draft → delivered).

Creative & On-Site Help

• Assist at photoshoots: help with gear, lighting setups, shot lists, and light BTS content.
• Assist with Social media: set up post promotion, posting, captions, etc (Instagram & TikTok).

Back-End & Admin

• Bookkeeping basics: track expenses/receipts/mileage/equipment ; categorize for taxes.
• Simple monthly finance snapshot (income vs. expenses).
• Template management: keep pitch emails, pricing sheets, proposals tidy and current.
• Deadline reminders: proactive pings ahead of delivery dates.

YOU ARE

• Extremely organized and proactive; you love tidy systems and clear follow-through.
• A strong communicator with a friendly, professional tone.
• Comfortable learning new tools (willing to learn Pixieset if new to it).
• Passionate about music and the creative world.
• Ideally: a musician or artist yourself (not required).

NICE-TO-HAVES (NOT REQUIRED)

• Experience with Pixieset, the Adobe Suite (primarily Photoshop), Gmail, Canva, Google Sheets, familiar with camera equipment & lighting.
• Basic understanding of IG/TikTok Business tools and boosting/promotion.
• Familiarity with CRM platforms as well as invoices & contracts.

COMMITMENT & LOGISTICS

• Type: 1099 contractor (temporary).
• Schedule: ~16 hours/week, flexible; mostly remote with occasional LA shoots/meetings.
• Term: Oct 1 – Dec 31 (potential to extend based on fit and workload).
• Compensation: $20/hour (paid weekly).
