POSITION SUMMARY:

The Event Coordinator will assist in organizing, coordinating, and providing support to Renee to ensure a seamless execution of each fundraising event, from pre-planning to post-event follow up. SPECIFIC TRAINING WILL BE PROVIDED on how to create and implement successful fundraising events. This position is in-person, however, remote work will occasionally be possible and this position includes some travel to events in the Los Angeles County area. We are looking for either a 30 to 40 hour per week person or could possibly use a couple of part-timers. We're open to being flexible (but specific with hours) and pay depends on experience. There is potential to work remote, once training is complete and you are proficient.

EVENT COORDINATOR ESSENTIAL FUNCTIONS:

  • Assists with daily administrative work related to planning events for fundraising and donor cultivation including tracking pledges, gathering contributions, tracking calls made by our candidates and coordinating schedules with our donors.
  • Assists with maintaining event folders and documents on Teams/OneDrive to maintain historic accuracy and reporting.
  • Provides daily, weekly, and monthly event updates and assists with creating event reminders for guests and meeting agendas and briefings for candidates.
  • Attends weekly zoom meetings and may confirm accuracy of event status and/or fundraising goals/status to the team.
  • Organizes and maintains event deliverables and assets, including invitations, email campaign creation, list creation, donor reporting and host gifts.
  • Event Support: Provides on-site support at events, including creating and passing out nametags, assisting with seating and managing on-site timelines.
  • Assists with monitoring and processing of donations and ensuring delivery to the treasurer in a timely manner. Assists in making sure all donations are paid and thank you notes completed.

EXPERIENCE AND EDUCATION

  • Some college and/or a minimum of 2 – 3 years related experience in hospitality or similar event role; or equivalent combination of education and experience.
  • Some experience in event planning or event coordination.
  • Must have a valid CA driver’s license and meet the state-required amount of personal automobile liability insurance.
  • Demonstrates knowledge of current events.
  • Responds promptly to emails, texts and phone calls.
  • Maintains confidentiality.
  • Speaks clearly and persuasively in positive or negative situations.
