Position Title: Mail/Maintenance Clerk
Position Overview:
We are seeking a reliable and detail-oriented individual to support our office operations through a combination of mail handling, building maintenance, inventory coordination, and general administrative tasks. This role ensures our facility remains functional, clean, and well-supplied, while also assisting staff with various day-to-day needs.
Key Responsibilities:
Mail Handling
Collect incoming mail daily
Open, date-stamp, sort, and distribute mail to appropriate recipients
Prepare and process all outgoing mail
Building Maintenance
Oversee the upkeep of the facility, both interior and exterior
Maintain maintenance and service logs
Keep workspaces clean and organized
Identify and report any damage, defects, or equipment malfunctions
Respond to staff maintenance requests and propose appropriate solutions
Perform light repairs and general maintenance as needed
Request bids and proposals for projects, as directed
Monitor and coordinate work performed by external contractors
Communicate with cleaning services as needed
Prepare and submit maintenance reports to management
Inventory Management
Organize and manage office supply and promotional item inventory
Monitor supply levels and prepare purchase orders when restocking is needed
Record Retention
Coordinate with staff and supervisor to rotate and manage storage boxes
Organize materials for shredding service and perform in-house shredding as needed
General Office Support
Make bank deposits when required
Set up the boardroom for scheduled meetings
Ensure cleanliness and supply readiness of meeting spaces
Brew coffee and pick up meals upon request
Open and close the building
Assist with photocopying and other clerical duties
Perform additional tasks as assigned by the supervisor
