Our client in The Woodlands is seeking an experienced Payroll Manager to oversee end-to-end payroll processing across multiple U.S. states. This role will lead payroll execution with accuracy and integrity, ensure compliance with evolving tax regulations, and play a key part in driving process improvement across payroll operations.
Key Responsibilities:
- Lead the day-to-day administration and execution of weekly and biweekly payrolls across several U.S. business entities using Paylocity, ensuring timely and compliant processing.
- Manage all components of payroll, including earnings, deductions, and benefits, with rigorous accuracy checks and timely reporting.
- Handle special payroll circumstances such as off-cycle payments, final pay, retroactive adjustments, and executive compensation as needed.
- Administer payroll-related compliance tasks such as tax filings, garnishments, unemployment insurance, and ensure all setup for new jurisdictions is handled proactively.
- Maintain accurate year-end records including W-2s and T4s; support audits related to payroll and retirement plans such as 401(k).
- Coordinate with external vendors and internal stakeholders to ensure seamless data flow between payroll, HRIS, and retirement platforms.
- Actively monitor legal updates impacting payroll and labor compliance in the U.S. and Canada, and ensure system configurations reflect changes appropriately.
- Perform audits and reconciliations to validate payroll data accuracy, collaborating with finance and accounting teams during monthly and annual close processes.
- Provide oversight and quality control for payroll processing across six legal entities, ensuring adherence to company policies and local regulations.
Qualifications:
- At least 10 years of hands-on payroll experience in a corporate setting, including multi-state payroll administration.
- Bachelor's degree in Accounting, Finance, Business Administration, or a related discipline; CPP certification is a strong plus.
- Proficient with payroll platforms such as Paylocity, ADP, Paychex, or equivalent systems.
- In-depth knowledge of payroll legislation, tax withholdings, benefit integrations, and employment law compliance.
- High level of accuracy, confidentiality, and attention to detail in all aspects of payroll processing and reporting.
- Capable of managing competing priorities in a fast-paced environment with minimal oversight.
- Effective collaborator able to partner cross-functionally with HR, IT, and Finance teams.
- Strong organizational and time management skills, with the ability to pivot quickly between tasks and projects.
